Choosing the right company for producing your labels?
(What to look for when deciding where to buy your labels)

I decided to write this post because one of the regular issues we have is customers comparing our products and services with another companies.

This post specifically looks at Asset Labels.

So lets start at the beginning…
Materials – One companies label material may look similar to another, however there can be big differences. Generally speaking you cannot tell what the material will be by simply looking at it, ask each company for more information if this has not been provided.

Adhesives – Of course just as with a material, there can be big differences in the quality of the adhesives that are applied to the labels body material. You’re going to want your labels to stick on and stay stuck! We often have customers who have tried using low cost alternatives only to find that they fail. I’m thinking here in particular of paper labels which you can buy from any stationers. These might look great when applied, but over time the adhesive loses its bond and the labels fall off, often we see paper labels curling up at the edges and corners – a sign they are about to fall off!

Size – Generally asset labels are sold in standard sizes, around 50mm x 20mm. Custom sizes are usually available but can cost extra to cover extra materials or the time cutting the labels.

Printing – Your labels need to take abuse! Even office equipment has a degree of abuse each day. Where you place your labels can help, often labels are applied to the underside of laptops etc. this means the label will come into regular contact with other surfaces, and the printing on the label needs to withstand that abrasion.

Layout – Different companies offer different method of designing your label layout. Most companies sell template layouts, you are simply given 2 lines for text and often a barcode or a serial number. Why templates? Because its cheaper, it saves time as no-one designs the layout, its pre-set. The downside of a template, is you cannot adjust the font, the size of the text or have one line smaller than the other etc etc.
The alternative to a template is bespoke or custom. Where the company designs the layout specifically for you, so you can decide, what goes where and how the label looks. This means you get the label designed the way you want. Usually this involved sending an image file containing the layout for approval prior to printing.

Extras – What do you get as standard in the price and what is extra? We have seen companies charging extra, for adding a logo, serial numbers and barcodes. Its worth checking what you get and the total price for your order before committing.

Service – If you are ordering your labels from a company, you want to deal with people who answer questions and concerns quickly and efficiently. If someone is not bothered with you as a potential customer, will they give you order the attention it deserves? Another key point is the turnaround time of your order, its not unusual to hear of companies with a turnaround time of 4-6 weeks.

Label Design & Layout Advice

Making the Best of Your Asset and Security Labels

Before proceeding to printing labels we always ask customers approval of their bespoke label layout. This ensures that you receive the label appropriate for your specific requirements. We e-mail a graphic image file as a proof for your approval of the layout design etc. at this time you can make any adjustments before we continue to printing.

Our clients come from throughout the UK as well internationally and we therefore make use of e-mail as well as having a 24/7 receptionist for enquiries.

Design Criteria Advice:

  • Property of: Using these words will in most instances not be required as the label usually has company’s name on it and this makes reference to the ownership.
  • Lines of text : (MORE IS LESS!) Obviously the more lines of text, the smaller a font is required when fitting text into the width of the label. The number of lines of text used in the label dictates how large or small are the fonts used!
  • Font Styles: We supply all of the popular fonts and also have an enormous range of styles and types styles available. If you would like to specify a particular font (as used in your company logo) please remember to email this at the time of ordering, we will endeavour to incorporate it into your design.
  • Fonts: We’ve found through many label designs, using San Serif fonts such as Tahoma and Arial to be more legible than serif fonts.
  • Serial Numbers: As a rule we will use the largest serial number appropriate for your specific label design.
  • Human Legible Barcode: Along with serialized bar codes you can have the same sequence of numbers and / or letters printed above/below the actual barcode as “human readable” text. Obviously this takes up room on your label, however, we find our customers like this feature applied to their own specific label.
  • Logos or Graphics: We can apply company logo’s to the labels when space permits! These may be placed either on the top or side of the label. Emailing us the high resolution image file you have is preferred, we can reduce the size if required. This is provided you can send a true black and white graphic file as this gives the best result.
  • Keeping it Basic: We have found that the most functional and aesthetically pleasing labels are often those that have a simple, balanced appearance. The use of an excess in text requires us to use smaller sized fonts. This greatly reduces the legibility as well as visual appearance. When using a “human readable barcode” a line of text along the top (for Company identification) with a line at the bottom is all you could expect, with perhaps a small logo on one side of the label depending on the space available!
  • Portable Property: If your labels are intended for use on smaller yet valuable items eg. mobile phones, laptops, PDA’s etc., we suggest having  labels printed using a telephone number, web / email address. All we require is a comment in the comment box, when ordering.

Standard non-tamper evident label material:

PolyAsset:- – Extra Durable Asset Labels: Platinum (metallic/aluminium) orWhite semi-gloss finished polyester Mylar. A rugged, durable labels, using a permanent adhesive as well as being the most popular for fixed asset tags/labels.

Available in two sizes either 1.7/8″ x 3/4″ (47mm x 19mm) or 1″ x 1/2″ (25mm x 12.5mm).

With the PolyAsset labels we are able to print in Blue, Red and Black on to these labels.

Please note: Red print cannot be used with a barcode.

Tamper evident label materials:

PolyCheck:- Available in Platinum (matte aluminium surface) as a new material, or original Chrome, Polyester (Mylar) with a permanent acrylic adhesive. In the event of removal of the label the hidden graphic checker-board pattern is left on the surface of the item it was attached to. Any attempt to re-position the removed label exactly where it was lifted from still shows the label was tampered with. The adhesive needs to cure at room temperature for 36 hours before it cures completely and may not be suitable for some low grade plastics, however, on bare or painted metal as well as most clean, smooth surfaces these security seals will stand up to rough handling and last for years! Due to the metallic foil backing these labels must be considered conductive to electricity and appropriate precautions taken. The hard smooth surface of these seals can be written on with special pens such as for marking the surface of CDs. (easily available from most Office Supply Companies).

Available in two sizes either 1.7/8″ x 3/4″ (47mm x 19mm) or 1″ x 1/2″ (25mm x 12.5mm).

Please note: The Chrome PolyCheck label cannot be printed with a barcode. The surface is too reflective.

PolyVOID:- White tamper evident label or Platinum( aluminium look surface), which leaves a “VOID” message on label and surface if lifted! This tamper evident label / seal can also be used as barcode labels, you can  write on it with a permanent CD marker pen .

These labels are ONLY Available in  7/8″ x 3/4″ (47mm x 19mm) due to the word void graphic

and can only be printed in Black or Red ink.

PolyBreak:– White Semi-gloss polyester Destructible:

This material looks very similar to PTFE tape used by plumbers to seal pipe joints, however, the difference is our PolyBreak uses the finest membrane you can possibly get and is extremely sensitive to unauthorized entry.

This label material has a very aggressive adhesive which will adhere to just about everything and anything,  easily breaking into tiny fragments at any attempted removal. It is an ideal tamper evident label  provided you do not require abrasion resistance. PolyBreak material is outdoor rated Waterproof and but due to is non-abrasive nature has a lower outdoor life expectancy than our other polyester (Mylar) material. Should you require this type of label and its qualities for use in an area where they are subject to abrasion, scuffing and general wear a tear, we can offer to supply our clear over-laminate which is used to protect the label. This acts as a barrier against wear and tear as well as moisture.

Available again in two sizes either 1.7/8″ x 3/4″ (47mm x 19mm) or 1″ x 1/2″ (25mm x 12.5mm).

What are asset labels?

We regularly have people who know that they need to buy asset labels, but most dont actually know what asset labels are, so I decided to write this blog post to help.
